It is part of the Library’s function to provide access to
intellectual and cultural resources of the community. Exhibits will
direct attention to the Library’s materials and services,
or provide exposure to local artisans and artists, organizations,
and items/activities of local interest.
Because exhibits are seen by anyone who enters the Library, they
must be of a content which is in keeping with community standards.
The Library reserves the right to reject any part of an exhibit
or display or to change the manner of the display.
All publicity material shall be submitted for approval by the Director.
Advertisements of a purely commercial nature will not be displayed
or distributed.
Displays/advertisements of a proselytizing nature will not be accepted.
Displays/advertisements of organizations or individuals which are
of an extreme or potentially offensive nature will be rejected.
Non-Library advertisements will not be permitted on the exterior
of the Library building or on Library property. Acknowledgments
of exhibitors may be made.
Prices may be posted in the case of displays of local artists and
artisans. Transactions for the purchase of exhibit items will be
between the exhibitor and the purchaser.
The Library will receive no fees or commissions in connection with
any exhibit or display. No exhibit material which is sold during
the exhibit may be removed without the approval of the Director
before the scheduled end of the exhibit. Exhibitors must furnish
the Library with a list of the value of each item for insurance
purposes.
By signing the waiver, exhibitors release the library from responsibility
for restitution of any kind for lost or damaged items exhibited
or displayed at the library. The library cannot assume responsibility
for completely protecting items that are not in the locked display
cases. The library cannot assume liability for any damaged
or stolen items.
Library displays and exhibits will have precedence over the displays
and exhibits of other groups in terms of scheduling for the use
of most display cases and all areas by outside groups/individuals.
A specified “community agency” display case in the foyer
will be available on a rotating basis to clubs, agencies and other
organizations within the community, and will not be used by the
library.
PROCEDURE FOR DISPLAYS AND EXHIBITS
The staff member who is arranging the exhibit should have the exhibitor
complete a DISPLAY/ EXHIBIT LIST. If the value of the exhibit is
$50,000 or less, or if there are not items with an individual value
of more than $5,000, it is not necessary to have the exhibitor sign
the Waiver. If the value of the exhibit is more than $50,000, or
if any single item has a value of $5,000 or more, the exhibitor
must sign the Waiver.
Sign the DISPLAY/EXHIBIT list, staple it to the Waiver (if present),
and return the forms to the Library Director, for filing in the
office.
Due to demand, an artist may be limited to one exhibit every three
years.
Nothing may be hung on any surface at the Library in such a way
that would cause a permanent change to the condition of the surface.
If hangers or adhesives of any kind cause permanent damage to a
surface, it will be the exhibitors responsibility to pay for any
repairs that must be made. Nothing may be nailed or set on
any surface at the Library.
DISPLAY AGREEMENT
The Polk County Public Library provides library patrons with the
opportunity to view the works and collections of many local artists,
collectors and non-profit community organizations. Since local
artists, collectors and non-profit community organizations showing
items in the library do so as a service to county residents, artists
are asked not to display prices on items and not to negotiate prices
or fees in the library.
The library director wishes to let artists, collectors and non-profit
community organizations displaying items in the library know that
there are no security procedures with respect to loaned works or
collections beyond normal lock up procedures and building supervision
and that the county has no special insurance provisions for non-county
property. Artists, collectors and non-profit community organizations
wishing insurance protection are encouraged to self-insure their
property.
I agree to display the following paintings or collection items
in the Polk County Public Library in compliance with the above agreement
beginning ______________, 20__, and ending ______________, 20__.
I understand that it is my responsibility to deliver and pick up
these items on the scheduled dates.
